Photo & image policy
How Cue The Flash captures, stores, shares, and deletes photos from our photo booth services. This policy applies to booking customers and event guests.

1. Introduction
This Photo & Image Policy explains how photos and videos are captured, used, stored, and shared when you hire our photo booth or when guests use the booth at your event. It supplements our Privacy Policy and Booking Terms & Conditions.
Our booths capture images of event guests for instant prints and, where included in your package, a private online gallery. We take a respectful, transparent approach: guests come to have fun, and you stay in control of how images are shared.
2. Who this policy applies to
- Booking customers — the person or organisation that hires us.
- Event guests — anyone who uses the photo booth at an event.
- Venues and planners — where relevant to coordinating the booth on the day.
3. What we capture
When guests use the booth we may capture:
- Still photographs (single or multi-shot strips)
- Short video or GIF-style clips, if included in your package
- Date, time, and technical metadata associated with each file
Images are captured in a semi-public event setting. Guests choose to enter the booth and pose for photos. An on-site attendant may help guests use the equipment.
4. Prints
Instant prints are provided for guests’ personal enjoyment. Prints are intended for private, non-commercial use unless we agree otherwise in writing (for example branded corporate events).
We are not responsible for how guests use, share, or display prints after they leave the booth.
5. Digital gallery
Where a digital gallery is included:
- Access is provided via a private link, usually after your event.
- Gallery access may require your booking to be paid in full and the gallery to be published by us.
- You may share the gallery link with your guests. Please treat the link as confidential — anyone with the link can view and download images.
- Galleries are hosted securely but are not password-protected unless we agree otherwise.
We may remove or expire gallery access after a reasonable period. Contact us if you need images sooner or wish to discuss longer access.
6. Who owns the images?
We retain ownership of the original image files and our templates, overlays, branding, and booth software. You and your guests receive a personal, non-exclusive licence to use images from your event for private, non-commercial purposes — for example sharing with friends and family, wedding albums, or personal social media.
You may not sell, license, or commercially exploit images without our written permission. Custom branding or overlays supplied by you remain your responsibility — you must have the right to use them.
7. Our use of images
Service delivery — we use images to deliver prints, galleries, and support related to your booking. This is part of providing the service you hired us for.
Marketing — we may use general or anonymised booth imagery (for example setup shots or images where individuals are not clearly identifiable) on our website, social media, or brochures. We will not use clearly identifiable guest images for marketing without appropriate consent.
Booking customers may opt out of marketing use of identifiable event imagery by telling us in writing at least 7 days before the event.
8. Guest awareness & event organisers
We display a notice at or near the booth directing guests to this policy and our Privacy Policy (which may be physical signage or an on-screen message). As the organiser, you should also make guests aware that a photo booth is in operation where appropriate — for example via an announcement. This is especially important at weddings, corporate events, and events where children are present.
For school or youth events, the organiser must ensure appropriate permissions are in place before the booth is used.
9. Children
Children may appear in booth photos at family events. We do not knowingly collect personal data from children for marketing. Parents or guardians are responsible for supervising children using the booth. If you believe we hold an image of a child that should be removed, contact us using the details below.
10. Social media & sharing by guests
Guests are free to share their own prints or gallery downloads on social media. We are not responsible for content guests post. If a guest tags us or uses an event hashtag, we may like or reshare only where appropriate and where the image does not conflict with an organiser’s opt-out.
11. Image quality & availability
We aim for high-quality captures, but results depend on lighting, guest participation, technical factors, and venue conditions. We are not liable for images that are blurred, poorly lit, or affected by guest behaviour. We do not guarantee that every guest will appear in the gallery or that every capture will be kept.
12. Retention & deletion
We keep event images for as long as needed to deliver your gallery and for a reasonable backup period afterwards, unless you ask us to delete them sooner. See our Privacy Policy for retention periods.
To request deletion of images from your event, email us with your booking reference. We will remove gallery files and backups within a reasonable time, subject to legal or accounting records we must keep. We cannot control images already downloaded or shared by guests.
13. Your data protection rights
Individuals may have rights to access, correct, or erase personal data, including photographs in which they are identifiable. See our Privacy Policy for how to exercise these rights.

Request photo removal
If you would like us to review removing a specific image, please submit a photo takedown report. Include a link to the image or its ID where possible so we can locate it quickly.
